Meetings & Calendar

Board meetings are open to every owner, and we hope you’ll join us. It’s the best way to see how the neighborhood is cared for, ask questions, and share ideas. There are two easy ways to take part: speak during the owner comment time at the end of each meeting, or write to the Association ahead of time and ask the Board to consider a topic. Meeting schedule

The meeting year runs on the budget. The Board meets quarterly, on the second Thursday of January, April, July, and October, at 5:30 p.m., and each meeting receives the Treasurer’s quarterly report. Twice a year the Members meet: in December to ratify the coming year’s budget, and in March for the annual meeting. About these dates

Dates marked tentative have not yet been set by the Board; each is confirmed with its notice. Board meetings begin at 5:30 p.m. unless the notice says otherwise, and locations are announced with each notice.

Read the meeting year as a list

The three tinted rows are the budget sequence set by C.R.S. § 38-33.3-303(4): the Board adopts a proposed budget, the Association delivers a summary to every owner, and the Members meet to ratify it.

How the budget is ratified

Colorado has its own process for HOA budgets. Under C.R.S. § 38-33.3-303(4), the budget the Board proposes is ratified at the December Members’ meeting unless a majority of all owners — 28 of our 54 homes — votes to reject it. No quorum is needed, and there is no mail ballot to return.

So the meeting isn’t about turnout numbers — it’s about understanding the plan together. Please come: the Board walks through what changed and why, answers questions, and hears your ideas before the new year begins.

If a budget were ever rejected, the last budget the owners ratified stays in force until the Board proposes a new one.

Attending a meeting

  • All owners are welcome at regular and special Board meetings.
  • Each meeting ends with time for owner comments. The Board’s practice is three minutes per owner unless the chair sets a different limit; that becomes written policy on November 1 under the Conduct of Meetings Policy adopted September 15. The Board may not be able to answer every comment on the spot, but every comment is heard and noted in the minutes.
  • Executive session is used only for a narrow set of matters, such as legal advice, personnel, contract negotiation, and individual owner delinquency or violation hearings — which protects neighbors’ privacy. The chair announces the general topic first, the minutes note that a closed session was held, and no rule or policy may be adopted during one.
  • A summary of each meeting is posted on the Documents page after the Board approves the minutes. The complete minutes are available to any owner on request.

Asking the Board to consider an item

Have an idea or a concern you’d like the Board to take up? We welcome it. Under the Association’s Conduct of Meetings Policy, agenda items are added and removed at the sole discretion of the Board, so a request doesn’t guarantee a place on the agenda. Every request is read and considered for an upcoming meeting, and you’ll hear back either way.

You can send a request anytime. The Conduct of Meetings Policy the Board adopted on September 15, 2026, which takes effect November 1, provides that an owner may submit a request at any time, and that the Board considers it for its next regularly scheduled meeting. Sending it early gives the Board time to read it before the meeting.

Serving on the Board

Any owner in good standing may run, and we’d love to see new faces. Under the Bylaws there are five directors, each serving a two-year term, with no limit on the number of terms a director may serve. Directors are elected by mail-in ballot sent to every owner ahead of the annual meeting — the results are announced at the meeting rather than voted on there, so watch for the ballot in your mail. It’s volunteer work, and right now it can be a real time commitment — but it’s rewarding, and you’ll be working alongside neighbors who care about this place.

The Board is currently updating the Association’s governance documents and rethinking how we manage landscaping, so the neighborhood stays beautiful as water demand and water costs rise.
